Privacy Policy

Your privacy matters, especially in work as personal as coaching. This policy explains what information Healing with Ariel collects, how it is used and shared, and the choices you have. It applies to arielryen.com and the application and contact forms on it, to the client intake questionnaire and booking pages we send you links to (these are hosted by our website platform, HighLevel), and to the emails and messages you exchange with us.

Who we are

Healing with Ariel is the coaching practice of Ariel Ryen. It is operated by Inner Resilience Solutions LLC, doing business as Healing with Ariel, in Dallas, Texas. In this policy, “we,” “us” and “our” mean Inner Resilience Solutions LLC. For any privacy question or request, email [email protected].

Information we collect

Information you give us

• Application form. Your name, email address and phone number, the offer you are interested in, your answers about what you are experiencing and what you hope to change, and the investment level you are considering.
• Contact form. Your name, email address, phone number if you choose to give it, your message, and whether you would like to join the email list.
• Client intake questionnaire. If you become a client, we send you an intake questionnaire so Ariel can prepare for your work together. It asks for your name, email address and preferred name, how you are working with Ariel (for example, which program), your date, time and place of birth, and questions about your goals, your childhood and family, whether you felt emotionally and physically safe growing up, the experiences that shaped you, and how you cope with stress today. Only your name and email address are required. Your answers may include sensitive information, such as injuries, illnesses, surgeries, trauma or sexual assault, so share only what you are comfortable sharing. Ariel uses your answers only for your coaching and her records of it. They are not sold or used for marketing. Your answers are saved as you move from page to page, even before you press Send my intake.
• Booking details. When you book a call or session: your first and last name, email address, phone number, any notes you add, the time and time zone you choose, how you would like to meet, and your agreement to receive emails about your booking.
• Emails and messages. What you write to us, and our replies.
• Client Service Agreement. If you become a client, your signed agreement, including your signature, the date, and the name and phone number of the emergency contact you list.
• Payment records. Your invoices and the payments you make. Card and bank details stay with the payment provider.
• Session notes. Any notes Ariel keeps from your sessions.
• Recordings. Private sessions are not recorded unless you and Ariel both agree in writing. Group calls may be recorded, and a recording is shared only with that group.

Information collected automatically

Our website platform automatically collects some technical data, such as your IP address, device and browser type, time zone, the pages you visit, and the page, link or ad that brought you to the site, including any campaign tags in that link. The site, its forms and its booking pages use cookies and similar browser storage so they work, to recognize you when you come back (for example, to fill in details you already gave on the intake questionnaire), and to record how you found the site. If you send a form or book a session, this information is saved with your contact record. Our pages load their fonts from Google Fonts, so Google receives your IP address and browser details when a page opens. We do not currently use advertising pixels or outside analytics tools such as Google Analytics.

How we use your information

We use your information to:

• review your application and respond to you;
• schedule and deliver your coaching;
• send session confirmations, reminders and other emails about your services;
• send you emails about Ariel’s work and offerings, but only if you asked for them by ticking the email list box on the contact form, and you can unsubscribe at any time;
• handle payments and invoices;
• keep records of our work together;
• improve the website; and
• meet our legal obligations.

We do not sell your personal information, and we do not share it with anyone for their own marketing.

Service providers

A few service providers process information on our behalf so we can run the practice:

• HighLevel. Website hosting, forms, scheduling, checkout pages, client records and email delivery.
• Google (Gmail and Google Calendar). Our email inbox and our calendar. Your appointments are saved to Google Calendar, which also sends you the calendar invitation.
• Zoom. Video sessions and group calls, including any recordings of group calls.
• Payment providers (Venmo, Zelle and Stripe). They handle your payment details under their own privacy policies. We do not store card or bank account numbers.
• Stan (stan.store). Our digital products and free resources are delivered through Stan. What you enter there, such as your name and email address when you buy a product or request a free resource, is collected by Stan and handled under Stan’s own privacy policy. We may receive your name and email address from Stan so we can deliver what you requested and follow up with you.
• Technical help. A person who helps Ariel set up and maintain her website and systems may see records while doing that work, and keeps them confidential.

Other sites

Our site links to services we do not run, including Stan, Substack, Instagram, TikTok and Google reviews. The Core Wound Finder quiz runs on ChatGPT, a service of OpenAI. Anything you type into the quiz goes to OpenAI and is handled under OpenAI’s privacy policy, not this policy or the confidentiality of our coaching work.

Text messages

We do not currently send text messages. If we add texting in the future, it will be opt-in only: you will receive texts only if you choose to sign up for them. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

Mobile phone numbers and text messaging opt-in data and consent are never shared with third parties or affiliates for marketing or promotional purposes.

Confidentiality in coaching

What you share in coaching is kept private, as described in the Client Service Agreement you sign when you become a client. Coaching is not therapy or medical care, and Ariel is not a HIPAA covered entity, but she treats everything you share with care. Apart from the service providers and technical help listed above, who handle information only to help run the practice, she will not share your information or your story, including as a testimonial, without your written permission, except:

• when required by law, court order or subpoena;
• when she believes someone is at serious risk of harm, in which case she may contact emergency services or your emergency contact; or
• when the law requires a report of suspected abuse or neglect of a child, an older adult or a person with a disability.

In these cases, Ariel shares only what is needed to keep people safe or to follow the law.

How long we keep information

We keep your information for as long as we need it for our work together and for our records. After that, we delete it or anonymize it. If you applied but did not become a client, you can ask us to delete your application at any time.

Security

We use reasonable safeguards to protect your information. No system is perfectly secure, so we cannot promise absolute security.

Your choices and rights

• Access, correction and deletion. You can ask to see, correct or delete the personal information we hold about you by emailing [email protected].
• Marketing emails. Every marketing email includes an unsubscribe link, and you can use it at any time.
• State privacy rights. If you live in a state with its own privacy law, including Texas, you may have additional rights. You can make any request through the same email address.

Children

This website and our services are not directed to anyone under 18.

Changes to this policy

If we update this policy, we will post the new version on this page with a new “Last updated” date.
